This position is with the Staff Service Center that will serve the Criminal Justice, Global and Area Studies, Political Science, and Sociology programs. 

Essential Duties

Serve as receptionist for Shared Staff Center.  Duties include: answering phone; taking/disseminating messages; and scheduling appointments.  Also serve as initial contact for Center by greeting visitors; answering questions or directing to appropriate resources; assisting students, faculty, and staff with forms.  Provide scheduling for various seminar rooms, coordinate Political Science credit by exams, and complete event planning.

Assist with accounting duties for Shared Staff Center.  Duties include:  following UW purchasing, accounts payable, contract, and procurement procedures to perform monthly reconciliation of p-cards; assist with or pay bills; PO creation and management; process travel reimbursements and expenditure corrections. 

Provide administrative support to Shared Staff Center.  Duties include: gathering and submitting book orders/course packets; loading semester course schedules; assisting with course prerequisites and enrollment overrides; assisting with management of student scholarships, awards, honors societies and student clubs; and assistance and support in assembling faculty Tenure and Promotion packets.  Participate, make recommendations, and assist faculty and Dept. Heads with planning, research, development, compilation, and editing of required UW and College reports and forms regarding faculty evaluation including: CPM requests; annual faculty updates & evaluations; and faculty T&P/APL extended term packets.  Duties include: assist faculty and department heads with tenure and promotion or extended term process, serve as the contact person for procedures/processes and correspondence relative to tenure and promotion or extended term. Assist with completing human resources forms pertaining to hiring and funding changes for faculty, staff, and student workers.  Plan, schedule, and assist with department events to include guest speakers, receptions, meetings, and searches.

Provide other support to Shared Staff Center.  Duties including: maintaining and ordering office supplies; assisting with duties relating to student recruitment, retention, and graduation.  When necessary, compile or disseminate correspondence and complete reports. 

Responsible for assisting with graduate studies and all HR and payroll forms pertaining to faculty and staff hiring for the Departments.  Responsible for making sure that faculty, staff, and students meet federal, state, and university guidelines for employment.  Participate in process of interviewing and hiring of office staff, graduate assistants, and student workers; and revise and/or recommend office policies and procedures.
    
Provide staff assistance to department heads, faculty, instructors and staff for all department programs. Perform intermediate level research, data analysis, written reports, and visual presentations for special projects. Provide information to and research problems for students, faculty, staff, and public via phone, e-mail and in person.
 

Minimum Qualifications

Associate Degree and two years of comparable experience or equivalent combination of education and experience as detailed below:

Required skills and knowledge include proficiency with Microsoft Outlook, Excel, and Word; basic reception techniques and records maintenance; scheduling; ability to work well with the public; good organization skills; and the capability to multi-task. 

Excellent interpersonal, verbal, and written communication skills.

Prefer skills and knowledge of University policies and procedures, as well as University software or similar systems including:  PISTOL, HRMS, BANNER, WyoWeb, and Degree Works.
